The 5 safety documents every retail business needs

You don't need a filing cabinet full of paperwork - but there are five core documents that every Victorian retail business should have in place. Here's what they are and why they matter.

Good safety documentation doesn't have to be complicated. For most small retail businesses, five core documents will cover the majority of your compliance obligations - and give you a solid foundation to build on.

First, a WHS policy. This is a short statement that sets out your commitment to health and safety and the responsibilities of everyone in your business. It doesn't need to be long - one page is usually enough.

Second, a hazard register. This is a running record of the hazards you've identified in your workplace, the risks they create, and the controls you've put in place. It shows that you're actively managing safety - not just hoping nothing goes wrong.

Third, an incident register. Every time something goes wrong - or nearly goes wrong - you should record it. This helps you identify patterns, demonstrate due diligence, and meet your reporting obligations under Victorian law.

Fourth, an emergency response procedure. Your staff need to know what to do in an emergency - whether that's a fire, a medical incident, or a security threat. A simple, clearly written procedure posted in a visible location is all you need.

Fifth, a staff induction checklist. Every new team member should be walked through your safety procedures before they start work. A checklist ensures nothing gets missed and gives you a record that the induction took place.
